Ask, Prepare, Pick Up

The screens come from a test list on our own SharePoint site: one item per request and a published Virto form with a short New form and two Edit layouts, one for IT and one for everyone else. The names are invented.

Ask

A short form to ask for a device

Only what the employee knows

Asset tag, model and serial number belong to IT and appear in the Edit form.

The manager in the form

The manager is a person column, so an approval flow knows whom to ask.

New form of the Equipment requests list, built with Virto Forms Designer App, with a single Request tab: Request Replacement laptop, Equipment Laptop, Requested for Daniel Weber, Manager Laura Becker, Needed by 10/26/2026, and Why it is needed My laptop is five years old and the battery lasts 40 minutes.
The New form has only the Request tab: what, for whom, the manager, by when and why.

Prepare

IT records the device it hands over

A layout for IT

Members of the IT team group open the request in a layout where the Handover tab is theirs.

Asset data on the request

Asset tag and serial number stay with the request that justified the device.

The Handover tab of the same request as a member of the IT team group sees it, editable: Status Ready for pickup, Asset tag LT-0587, Model 14-inch laptop, 32 GB RAM, Serial number PF4X2K9L, an empty Handed over on date, and IT notes Pick it up at the IT desk on the second floor and bring the old laptop.
The Handover tab in the IT layout: status, asset tag, model, serial number, handover date and notes.

Pick up

The employee sees when it is ready

No email to ask where it is

Status and pickup notes are in the employee's own request.

Visible, not editable

The Handover tab is read-only in the employee's form. Who may change the data itself is still decided by the list's permissions.

The Handover tab of the same request as the employee sees it, greyed out: Status Ready for pickup, Asset tag LT-0587, Model 14-inch laptop, 32 GB RAM, Serial number PF4X2K9L and the IT notes

Key benefits

Your data stays in your list

Every request is a list item in your tenant, with your permissions, versions and views.

No code for the layout

A short New form, tabs, two columns and a layout for IT are set in a drag-and-drop designer.

Fewer status questions

Employees see when their device is ready and where to pick it up.

Every change on record

Version history shows who changed the status, the asset tag or the handover date, and when.

Flows and alerts can react

Because the request is a list item, a Power Automate flow or a Virto alert can react to its status.

A form, not a lock

A read-only tab shapes the form. Who may change the data is still set by the list's permissions.

What equipment requests need, and what runs them

Real-life scenario
Best fit
Why it works
A request and its handover details in a single record

A short New form for employees and a Handover tab for IT on one list item, with a layout for each, set up without code.

The employee told when the device is ready

An alert emails the person in the Requested for column when IT sets the status to Ready for pickup.

Manager approval before IT orders
Approvals in Lists or Power Automate

Microsoft's approvals send the request to the manager and record the answer on the item.

Start from Microsoft's ready-made list
Microsoft Lists, Asset manager template

Microsoft's template gives you a ready list for devices; if its default form is enough, it is all you need.

Device enrolment, inventory discovery and stock levels
Microsoft Intune or an IT asset management tool

When IT needs to enrol devices, discover what is installed and keep stock levels, Intune or a dedicated asset management tool is the answer.
