Quick answer: what is changing with channel meetings in Teams?

Microsoft announced on 15 October 2026 (Message center post MC1509796) that users will be able to create channel meetings from the Teams calendar and create and manage them in classic Outlook for Windows. Channel members will find meetings linked to their channels more easily, and administrative assistants and delegates will be able to schedule channel meetings for others. A public preview starts in early November 2026; worldwide general availability starts in mid-December 2026 and is expected to finish in late January 2027. No admin action is required.

A channel meeting is a Teams meeting that belongs to a channel: everyone in the team can see it there, join it and use its chat. Until now the usual way to set one up was from the channel itself. The change announced in MC1509796 moves channel meetings into the places where most people already plan their week — the Teams calendar and Outlook.

This guide covers what changes, when it reaches your tenant, how to schedule a channel meeting today and the limits that Microsoft’s announcement does not mention changing.

What MC1509796 changes

According to the Message center post Microsoft Teams: Enhanced channel meeting experience:

  • Create channel meetings from the Teams calendar. You will no longer have to start in the channel.
  • Create and manage channel meetings in classic Outlook for Windows. Organizers who live in Outlook can keep the meeting tied to its team and channel.
  • Find channel meetings more easily. Channel members will have an easier time finding meetings linked to their channels.
  • Schedule for someone else. Administrative assistants and delegates can schedule channel meetings on behalf of another person, and the meeting stays connected to the right team and channel.

Microsoft says no admin action is required. It recommends telling users, meeting organizers, administrative assistants and delegates about the change.

Rollout dates in the Message center often move. If your tenant does not show the new options yet, check the post in the Microsoft 365 admin center for an updated timeline.

How to schedule a channel meeting today

Until the change reaches your tenant, Microsoft’s instructions start from the channel:

  1. Select Teams and open the team you want to meet in.
  2. Next to Meet now, select the dropdown arrow.
  3. Select Schedule a meeting.
  4. Add any attendees who are outside the team.
  5. Select Send.

Everyone in the team receives a personal invite. You can also turn a regular meeting into a channel meeting by typing the channel name in the Add channel field of the meeting form. In the Teams mobile app, tap Share to a channel while you add participants.

Microsoft has not yet published step-by-step instructions for creating a channel meeting from the Teams calendar or classic Outlook. We will add them here when the feature reaches general availability.

Limits that stay the same

MC1509796 does not mention changes to these rules from Microsoft’s current documentation:

  • People outside your organization don’t see the channel calendar. You can invite them as attendees, but they have no access to the channel calendar.
  • The channel is fixed once the invite is sent. You can’t add or change the channel afterwards; you need to send a new invite with the right channel.
  • No categories. Channel meetings can’t be categorized, so colour-coding by category doesn’t apply to them.

One older limit no longer applies: channel meetings now work in private channels. In Microsoft’s worldwide cloud, private channels support channel meetings along with higher channel and member limits, according to Microsoft’s admin documentation on private channels. In GCC, GCC High and DoD the same change has been rolling out since April 2026 (Microsoft 365 Roadmap ID 500381), so check your tenant before you rely on it.

What admins should know

There is nothing to switch on. If you need to limit who can create channel meetings, that is already a meeting policy setting: in the Teams admin center, go to Meetings > Meeting policies, open the policy and, under Meeting scheduling, turn off Channel meeting scheduling (or Meet now in channel meetings for instant ones). With scheduling turned off, users can’t create new channel meetings, but organizers can still edit existing ones. The same settings are available in PowerShell:

Set-CsTeamsMeetingPolicy -Identity <policy name> -AllowChannelMeetingScheduling $False
Set-CsTeamsMeetingPolicy -Identity <policy name> -AllowMeetNow $False

Before general availability, tell administrative assistants and delegates that they will be able to schedule channel meetings for their managers, and agree which channel each recurring meeting belongs to.

When a channel needs more than meetings

A channel meeting is still a meeting: it carries a join link, and the people who see it are the team’s members. Many channels also need a schedule that isn’t meetings — shifts, deadlines, time off, match days — and some need to show it to clients, parents or partners who have no account in your tenant.

For that, Virto Shared Calendar adds a team calendar as a tab in the channel, or opens it in a browser. Events get tags and colours, and a view-only or edit link works for people without a Microsoft account. The free plan covers up to 15 entries in each calendar. Our guide to shared calendars in Microsoft Teams compares it with the Channel Calendar app and the Microsoft 365 group calendar.

FAQ

When can I create channel meetings from the Teams calendar?

A public preview starts in early November 2026. General availability starts worldwide in mid-December 2026 and is expected to finish in late January 2027. Government clouds follow between July and September 2027.

Do admins have to do anything for MC1509796?

No. Microsoft says no admin action is required. Admins who want to restrict channel meetings can use the existing Channel meeting scheduling setting in meeting policies.

Can people outside my organization see a channel meeting?

They can be invited as attendees and join the meeting, but they don’t have access to the channel calendar. To show a schedule to people without an account in your tenant, use a calendar that can be shared by link.

Can I create a channel meeting in a private channel?

Yes, in Microsoft’s worldwide cloud, where private channels have supported channel meetings since mid-2026. In GCC, GCC High and DoD the change has been rolling out since April 2026 and may not have reached your tenant yet. MC1509796 does not mention private channels.
