> **Quick answer:** In new Teams, the calendar is your Outlook calendar, so a colleague’s calendar opens right next to yours: **Calendar → Add calendar → Add from directory**, pick the person and select **Add**. You see as much as they share — only Busy blocks with free/busy access, titles or all details if they give you more. Three more ways: (2) **Scheduler** when creating a meeting — free/busy for every attendee on one grid; (3) a **Channel calendar** tab — meetings scheduled in that channel; (4) the [**Virto Calendar App**](https://www.virtosoftware.com/microsoft-teams/virto-calendar-app/) — a whole team’s calendars and SharePoint lists in one color-coded view inside Teams.

This guide covers all four methods step by step in the current **new Teams interface (2025/2026)** on the web and desktop. If you specifically need to view a calendar in Outlook rather than Teams, see our dedicated guide on [how to view someone’s calendar in Outlook](https://www.virtosoftware.com/team/how-to-view-and-access-someone-outlook-calendar/).

## Method 1: Add a colleague’s calendar to your Teams calendar

> **Best for:** seeing a colleague’s calendar next to yours. Shows as much as they share with you.

The Calendar in new Teams shows your Outlook calendar, with the same list of calendars. A colleague’s calendar you add in Teams also appears in Outlook, and the other way round.

1. In Teams, open **Calendar** and select **Add calendar**.

2. Choose **Add from directory**, type your colleague’s name and pick them.

3. Keep **Add to: People’s calendars** and select **Add**.

4. Their calendar now shows under **People’s calendars** and opens side by side with yours. Untick a calendar in the list to hide it.

**See only Busy blocks?** Then the person shares free/busy only — *Can view when I’m busy* is what people in an organization get by default. Ask them to give you *Can view titles and locations* or *Can view all details*: in Outlook they select **Share**, pick the calendar and set your level in **Sharing and permissions**.

## Method 2: Use Scheduler to check availability in Teams

> **Best for:** finding a free meeting time. Shows when each attendee is busy, tentative or free.

Scheduler is the fastest way to find a time that works for everyone. It lays out every attendee’s free/busy on one timeline — which is usually all you need to book a meeting.

1. In the Teams **Calendar**, select **New** to open a new event.

2. Add the people whose availability you want to check in the **Invite required attendees** field.

3. Click the **Scheduler** button next to the meeting date and time to open the availability grid.

4. Review each attendee’s free/busy blocks on the timeline. Shaded areas show when someone is busy or tentative; open areas show when they’re free. Pick a slot that works for everyone.

**Does Scheduler work for external or guest users?** Yes, but with limits. You can add an external person by typing their full email address, and Teams will show their free/busy information *only if* their organization shares it with yours (via an organizational relationship or shared free/busy). If nothing appears, their tenant likely isn’t sharing availability, and you’ll need to ask them directly.

## Method 3: Add a channel calendar tab in Teams

> **Best for:** shared team events. Shows channel meetings only — not anyone’s personal Outlook calendar.

A channel calendar gives everyone in a channel a shared view of meetings scheduled in that channel.

1. Go to the channel where you want the calendar.

2. Select the **+** at the top of the channel and choose **Apps**.

3. Select **Channel calendar** from the list of apps.

4. The tab now shows a calendar visible to all channel members.

> **Limitation:** a channel calendar shows only meetings scheduled in Teams within that channel — it does not display members’ personal Outlook calendar events. To see a person’s own calendar, use Method 1; for many calendars in one view, Method 4.

For a deeper walkthrough of channel and group calendars, see our [Microsoft Teams Shared Calendar Guide](https://www.virtosoftware.com/events/microsoft-teams-shared-calendar-guide/).

## Method 4: See a whole team’s calendars in one view with Virto Calendar App

> **Best for:** one shared, color-coded view of many people’s calendars — and SharePoint lists — inside Teams.

Method 1 adds calendars one person at a time, and each of you builds your own list. When a team needs one view of everyone’s schedules, the [Virto Calendar App for Microsoft Teams](https://www.virtosoftware.com/microsoft-teams/virto-calendar-app/) combines them in a Teams tab.

Three things it adds:

- **Multi-source overlay:** combine unlimited Microsoft 365 calendars — plus Google and other web calendars — into one view, so you can see a whole team’s schedules at once.
- **Color coding:** each person or calendar source gets its own color, so it’s easy to tell schedules apart at a glance.
- **Teams tab integration:** the combined calendar lives directly inside Teams — no switching apps to check who’s busy.

### How to install Virto Calendar

1. Install the app from the Microsoft Teams app store.
2. Open it from the **Apps** section in Teams.

3. Use the app interface to add calendar sources, set permissions, and toggle team members’ schedules on or off.

The resulting team view overlays everyone’s schedule in one color-coded calendar:

## How to view a colleague’s calendar in Outlook (linked from Teams)

Teams and Outlook show the same calendars: a colleague’s calendar you add in Teams is also under People’s calendars in Outlook, and calendar sharing permissions are set there. For the Outlook side — opening a shared calendar, requesting access, delegate rights — see our dedicated guide: [How to view and access someone’s calendar in Outlook](https://www.virtosoftware.com/team/how-to-view-and-access-someone-outlook-calendar/).

### Bonus for IT admins: surface Teams channel calendars in Outlook

Channel calendars aren’t visible in Outlook by default. An admin can enable them per Team using Exchange Online PowerShell:

```
Set-UnifiedGroup -Identity "Your-Team-Name" -HiddenFromExchangeClientsEnabled:$False
```

Once enabled, the Microsoft 365 Group calendar for that Team appears in Outlook (web, desktop, and mobile) alongside personal calendars. Note that to show up in a Teams channel, a meeting must still be scheduled as a channel meeting within Teams.

## FAQ

### Can you see someone’s full calendar in Microsoft Teams?

Yes. In new Teams, open **Calendar → Add calendar → Add from directory** and add the person: their calendar opens next to yours. How much you see depends on what they share — only Busy blocks with free/busy access, titles and locations or all details if they give you that level.

### Can people see my Teams calendar?

By default, people in your organization can see your free/busy information but not the details of your appointments. You can adjust how much detail is visible in your Outlook calendar sharing settings (**Share** → your calendar → **Sharing and permissions**) — Teams shows the same calendar.

### How do I see a colleague’s schedule in Teams without scheduling a meeting?

Add their calendar (Method 1) — it opens next to yours without creating anything. For a quick read on availability, check their presence status (Available, Busy, In a meeting) on their Teams profile card; to see a whole team’s calendars in one view, use the Virto Calendar App.

### Why can’t I see someone’s calendar in Teams?

Usually it’s a permissions or sharing issue. If you see only Busy blocks, the person shares free/busy only; if nothing appears, they haven’t shared their calendar, or your organization’s policies restrict access. If the calendar itself isn’t loading or appears empty, see our troubleshooting guide on [Teams calendar not showing](https://www.virtosoftware.com/events/teams-calendar-not-showing/).

## Summary

In new Teams you can see a colleague’s calendar natively: add it from the directory and it opens next to yours, showing as much as they share. Use **Scheduler** for a quick free/busy check when you book a meeting, a **Channel calendar** tab for channel meetings, and the [Virto Calendar App](https://www.virtosoftware.com/microsoft-teams/virto-calendar-app/) when a team needs everyone’s calendars and SharePoint lists in one color-coded view inside Teams. For sharing permissions and delegate access, see the Outlook guide linked above.
